Haven OBGYN — Electronic Communications & Texting Policy

This Electronic Communications & Texting Policy ("Policy") explains how Haven communicates with you electronically (email, SMS/MMS text, phone, and patient portal messages), what you consent to, and your choices.

1) What you're consenting to

By providing your email address and/or mobile number to Haven (including through our Site forms, patient portal, or front desk) and by interacting with us electronically, you consent to receive non-marketing operational communications related to your care and to our Services. These may include appointment invitations, confirmations, reminders, schedule changes, intake forms, check-in links, test result notifications, prescription or care-plan reminders, billing notices, and similar transactional messages. Communications will be sent from Haven-approved phone numbers, email addresses, or messaging platforms.

2) Text messaging (SMS/MMS)

Message types

Haven and our service providers may send: reminders; care-navigation prompts; education links; visit follow-ups; and limited billing messages.

Frequency & charges

Message frequency varies. Message and data rates may apply.

Opt out / help

You can opt out of texts at any time by replying STOP. For assistance, reply HELP or email contact@haven-obgyn.com. Your opt-out does not affect messages sent via the patient portal or email if required for care/operations.

3) Marketing texts (optional)

Haven will not send marketing or promotional text messages without your express consent. If you opt in to marketing messages, you may later opt out at any time by replying STOP; frequency may vary; message/data rates may apply. This mirrors widely used consent language for health-related services.

4) Email communications

We may send appointment information, instructions, educational resources, and billing notices to the email you provide. Some emails may contain sensitive information. If you prefer not to receive sensitive details by email, tell us and use the secure patient portal instead.

5) Security & privacy risks

Important Security Information

Standard SMS and unencrypted email can be intercepted or accessed by unauthorized parties, altered without detection, or stored on devices and in backups. By using these channels, you acknowledge these risks and agree to take reasonable precautions (e.g., locking your device, not sharing your phone, deleting messages you no longer need).

For sensitive matters, we recommend the Epic/Hill Chart patient portal or an in-person/telehealth visit.

6) Keeping your contact info current

You agree to promptly notify us if your email or mobile number changes so messages are routed correctly. You can update your details through the portal or by contacting our office.

7) Third-party service providers

To deliver emails and texts efficiently and securely, Haven may use reputable communications vendors (e.g., email/SMS gateways). These vendors act on our behalf pursuant to agreements requiring appropriate confidentiality and security controls. Examples of similar arrangements are standard across health navigation platforms.

8) No guarantee of receipt; time-sensitive matters

Important Notice

Electronic communications may fail, be delayed, or filtered by carriers and email providers. Do not rely on text or email for urgent issues. If you have an urgent medical need, call our clinic or dial 911 in an emergency.

9) Recordkeeping

Our systems may retain electronic communications consistent with medical record or business requirements and applicable law.

10) Children's communications

We communicate with adult patients (18+) or with parents/guardians and authorized proxies in accordance with applicable law and clinic policies.

11) Changes to this Policy

We may update this Policy from time to time. Changes are effective when posted with a new effective date. Continued use of electronic communications with us after an update constitutes acceptance of the revised Policy.
