This Electronic Communications & Texting Policy ("Policy") explains how Haven communicates with you electronically (email, SMS/MMS text, phone, and patient portal messages), what you consent to, and your choices.

1) What you're consenting to

By providing your email address and/or mobile number to Haven (including through our Site forms, patient portal, or front desk) and by interacting with us electronically, you consent to receive non-marketing operational communications related to your care and to our Services. These may include appointment invitations, confirmations, reminders, schedule changes, intake forms, check-in links, test result notifications, prescription or care-plan reminders, billing notices, and similar transactional messages. Communications will be sent from Haven-approved phone numbers, email addresses, or messaging platforms.

2) SMS/Text Messaging Terms & Conditions

By opting in to receive text messages from Haven OBGYN, you agree to the following SMS Terms & Conditions. Haven OBGYN complies with The Campaign Registry (TCR) and carrier requirements for text messaging services.

A. Program Description

Haven OBGYN may use SMS/text messaging to send:

  • Appointment reminders and confirmations
  • Scheduling updates or rescheduling information
  • Practice news, health tips, and updates related to our services
  • Important notices about office hours or availability
  • Care-navigation prompts, education links, and visit follow-ups
  • Limited billing messages

B. How to Opt In

You can opt in to receive text messages from Haven OBGYN by:

  • Providing your mobile number on our appointment request form and checking the consent box
  • Texting START or YES to our practice number
  • Providing your mobile number at our office and verbally consenting

Opt-in Confirmation: When you opt in, you will receive a confirmation message: "Haven OBGYN: You're now subscribed to appointment reminders and practice updates. Reply HELP for help, STOP to opt out. Msg & data rates may apply."

C. Message Frequency

You could receive up to 4 SMS messages per week, frequency may change based on time-sensitive updates, or your communication preferences.

D. Cost and Fees

Message and data rates may apply to each message sent or received, depending on your mobile carrier's plan. Haven OBGYN does not charge any additional fees for text messages. Check with your mobile carrier for details on your messaging plan.

E. How to Opt Out

You may cancel the SMS service at any time by replying with any of the following keywords: STOP, END, CANCEL, UNSUBSCRIBE, or QUIT to any message from Haven OBGYN.

Opt-out Confirmation: After you send an opt-out keyword, we will send one final confirmation message: "Haven OBGYN: You have successfully unsubscribed. You will no longer receive text messages from us. Reply START to resubscribe."

You will no longer receive messages from Haven OBGYN unless you opt back in. Your opt-out does not affect messages sent via the patient portal or email if required for care/operations.

F. How to Get Help

For help regarding our text messaging service, reply HELP to any message from Haven OBGYN.

G. Privacy and Data

Mobile Opt-in, SMS Consent, and phone numbers collected for SMS communication purposes will not be shared with any third party or affiliates for marketing purposes. Information collected through our messaging program will be used solely for providing appointment reminders, updates, and practice-related communications directly from Haven OBGYN. Your mobile information remains strictly confidential within our practice systems.

Data Collection: When you opt in to our text messaging program, we may collect:

  • Your mobile phone number
  • Your name (if provided)
  • Appointment information or preferences (as applicable)
  • Opt-in date and time
  • Communication preferences

Data Usage: We use your mobile information to:

H. Carrier Disclaimer

Mobile carriers are not liable for delayed or undelivered messages. Supported carriers include AT&T, T-Mobile, Verizon, Sprint, and other major U.S. carriers.

I. TCR Compliance

Haven OBGYN is registered with The Campaign Registry (TCR) and complies with all carrier requirements for text messaging. Our text messaging campaigns are verified and approved by wireless carriers to ensure reliable message delivery and compliance with industry standards.

J. Marketing Texts (Optional)

Haven will not send marketing or promotional text messages without your express consent. If you opt in to marketing messages, you may later opt out at any time by replying STOP; frequency may vary; message and data rates may apply.

3) Email communications

We may send appointment information, instructions, educational resources, and billing notices to the email you provide. Some emails may contain sensitive information. If you prefer not to receive sensitive details by email, tell us and use the secure patient portal instead.

4) Security & privacy risks

Important Security Information

Standard SMS and unencrypted email can be intercepted or accessed by unauthorized parties, altered without detection, or stored on devices and in backups. By using these channels, you acknowledge these risks and agree to take reasonable precautions (e.g., locking your device, not sharing your phone, deleting messages you no longer need).

For sensitive matters, we recommend the Epic/Hill Chart patient portal or an in-person/telehealth visit.

5) Keeping your contact info current

You agree to promptly notify us if your email or mobile number changes so messages are routed correctly. You can update your details through the portal or by contacting our office.

6) Third-party service providers

To deliver emails and texts efficiently and securely, Haven may use reputable communications vendors (e.g., email/SMS gateways). These vendors act on our behalf pursuant to agreements requiring appropriate confidentiality and security controls. Examples of similar arrangements are standard across health navigation platforms.

7) No guarantee of receipt; time-sensitive matters

Important Notice

Electronic communications may fail, be delayed, or filtered by carriers and email providers. Do not rely on text or email for urgent issues. If you have an urgent medical need, call our clinic or dial 911 in an emergency.

8) Recordkeeping

Our systems may retain electronic communications consistent with medical record or business requirements and applicable law.

9) Children's communications

We communicate with adult patients (18+) or with parents/guardians and authorized proxies in accordance with applicable law and clinic policies.

10) Changes to this Policy

We may update this Policy from time to time. Changes are effective when posted with a new effective date at https://www.havenobgyn.com/communications-policy. Continued use of electronic communications with us after an update constitutes acceptance of the revised Policy.
